  • Resist the urge to watch TV, view social media or shop online – before you know it you can waste a good part of your day.

6 Ways to Organize a More Productive Home Office 

For some of us, remote working is nothing new, but COVID-19 has changed working from home from novelty to necessity. These tips on how to organize a home office for productivity will help your teams make the most out of their home office.

Tip 1: Select Your Office Space Carefully 

When selecting a space, keep in mind the amount of daily foot traffic and noise in that area. You want to minimize distractions. Being able to shut the door can be a big help. If you can’t get a separate room, you can alleviate some issues by purchasing noise-cancelling headphones and a standing, foldable screen that separates you from the rest of the family’s movements.

Tip 2: Natural Light

Try to set up your workspace in a room that has a few windows. Studies show access to natural light can have an impact on your overall work performance, mood and wellness.

Tip 3: Invest in Seating 

Investing in a chair that offers adequate back support may well be worth the investment. Since this is where you will be spending most of your day, you don’t want to end up with a bad back.

Tip 4: Decluttered Workspace And Storage

You’ll want all the items you need for work within arms’ reach. Keeping those items properly stored is key to minimizing distractions. If your desk doesn’t have drawers, invest in a rolling filing cabinet to store documents and miscellaneous objects that would otherwise clutter your workspace.

Tip 5: Computer Screen Configuration

Many people use multiple screens at their office for daily work. If this is the setup you’re used to, it’s best to mimic it at home. You can purchase monitors and mounts online that are easy to configure. And, be conscious of what people see in your background when video conferencing.

Tip 6: Customize Your Space 

There are an endless number of ways you can customize your home office for your personal productivity – choose what’s right for you. Printer, shredder, mouse or track pad, external keyboard or built-in keyboard – arrange everything you need to get the job done.

When the Governor’s order went into effect, our team had to act fast. Our client had 100+ users in the office. They called us on Tuesday, and they wanted everyone working from home by Friday.

Maryland Mitel On-Premises System Customer 

Another association just outside of DC in suburban Maryland, had 130+ users all connected in their office via an on-premises Mitel MiVoice platform. Most incoming calls came in on the main number and were distributed across multiple attendant consoles where calls were transferred across the organization.

When the stay-at-home order came down, the staff was able to quickly connect at home using a mix of plug-and-play Mitel Teleworker phones or MiCollab apps running on their laptops and smartphones.

Home-based attendants are still managing the high-volume flow of incoming calls using a completely PC-based call-handling setup with an intuitive graphical user interface that lets them know the ‘presence’ status of every user before they transfer the caller.

The association is delighted with their Mitel system and its teleworking capabilities – their employees are staying productive and their members are getting the support they need.

A Video Meetings Guide for Your Remote Workers

Videoconferencing has suddenly become “business essential.” Now more than ever, teams are relying on videoconference meetings on a daily basis so they can get work done effectively and efficiently.

Many of your remote workers, however, may have to adjust to this way of communicating with their colleagues.

Here’s a checklist of what every remote worker must consider as they get up to speed…

  • Visual presence – Since you may be in your home office, or even the kitchen, you will have to pay attention to lighting, visual background and ambient noise.
  • Prepare the content – Take a few moments ahead of time to organize your thoughts. This can make all the difference between a frustrating call and a productive one.
  • Agenda – If you’re the organizer of the call, be sure to send out an agenda at least a day ahead of time. Identify what you expect from each participant.
  • Your role – If you’re not the leader, reach out to the organizer and ask for clarification on your role and how you should prepare. Think through what you’d like to contribute.
  • Other participants – Find out who else will be on the call. Just as with face-to-face meetings, it’s helpful to know beforehand who will be “in” the meeting.
  • Limit side conversations – Keep one-on-one chats to a minimum. Instead, take notes for follow up.
  • Internet connection – Your WiFi needs to be strong enough to handle both voice and videoconference calls. What’s fine for browsing or email may not be robust enough to facilitate real-time communications.
  • Up-to-date software – Make sure you have the latest version of the meeting software. Or use a web-based business videoconferencing solution where you only need to sign on.
