Never ‘One Size Fits All’… Connect Your Multi-Site Business with Cloud Voice

Businesses can rarely perform at their best with ‘one size fits all’ technology solutions… Among the best aspects of TCI’s offerings are the innovative ways we support the needs of different industries and business models.

We support Public, Private, and Hybrid deployments and we will always recommend and deploy the best-fit solution for your business.

Why Cloud services appeal to businesses of every size…

  • No need to configure and manage your system, servers, and storage.
  • Maintenance and support are the responsibility of your service provider and routine upgrades are automatic.
  • Whether your business is growing or needs to scale down, a cloud service can easily adapt.
  • Need customized features, integration with other applications, or advanced call center capabilities? The right cloud solution can cover those unique arrangements too.

Hybrid brings it all together

Many multi-site businesses are looking for a hybrid approach. Some want a Private Cloud arrangement serving their headquarters and Public Cloud services connecting their branch locations – all integrated together and centrally managed.

Whether you want to simplify your technology or take control of your communications infrastructure, our cloud experts are ready to connect your business. Contact us today at (703) 321-3030 or info@tcicomm.com.

Combining Voice & CRM Empowers Your Customer Support & Sales Teams

Hopefully, your customer care and salespeople are busy – responding to prospects and clients, juggling different tasks, taking customer orders, and closing sales. But how can Cloud Voice help them conquer the challenges of a slow season?

Relationship-building is an integral part of a customer-facing salesperson’s job…

With so many current and potential customers, your people need historical records and detailed customer profiles. When your CRM is integrated with your Voice service, salespeople have ready access to all the information they need to personalize their conversations – even when it’s the customer calling your office.

The details of any sales call are a critical component of relationship-building…

Cloud-based phone solutions not only track call records but also allow salespeople to attach client details and notes so they can follow up more effectively in the future. Employees can even record calls to playback whenever there’s a need to reference them.

As the sales day comes to a close, salespeople review the day’s work and tie up any loose ends. They gain renewed confidence that they won’t drop a call, won’t lose track of important client information, and, most importantly, won’t miss a sale.

Customized Cloud Voice gives salespeople the apps they need to make more calls, send more emails and collaborate more efficiently.

Provide your people with the tools they need to ratchet up sales in any season… Contact us today at (703) 321-3030 or info@tcicomm.com.

Understanding Voice Deployment Options & Selecting the Best Platform for Your Business

TCI specializes in providing custom solutions designed to meet the precise communication needs of large and small organizations…

A variety of cloud deployments are available to connect your company and every location in your enterprise – dedicated private solutions, shared public services, or hybrid combinations of both.

Here are some considerations that will help determine the best platform or combination for your business…

  • What goes in the cloud? What stays? Start by identifying the applications that really matter and check for redundant functionality across applications; then focus on the key business and technical reasons for moving to the cloud. Use those decisions to shape the specific criteria for determining which applications should move to the cloud.
  • What level of privacy and security do you need? If you’re in government or a highly regulated industry like financial services or healthcare, you may want to consider combining a private, onsite platform with cloud services. A hybrid solution enables you to keep control of your communications infrastructure while still reaping cloud benefits like scalability, resiliency, and cost management. If advanced features, privacy, and control are essential to your business, dedicated private solutions will provide the customized tools and flexibility you need.
  • How important is reliability? If your workforce needs immediate and reliable access to complex data, like large multimedia files, consider storing your data using redundant onsite and offsite storage. If you operate a busy contact center, a dedicated private cloud solution combined with redundant backup can protect you from costly downtime – if you lose your onsite system, the cloud will be there. Likewise, if a network failure hits your cloud provider your in-house infrastructure will be your safety net.
  • Will the communications system grow and flex with you? For many small and mid-sized organizations, the public cloud environment can be very cost-effective. You typically pay on a flat, user-per-month basis. In addition, even though you may connect via a public Internet connection, you can overlay a private network service for added reliability. A hybrid solution gives you added flexibility to scale more broadband when needed, ensures reliability, and allows you to maintain control.

There’s even more to consider… Need help? TCI will help you refine your voice deployment strategy and implement a solution tailored to your specific requirements. Contact us today at (703) 321-3030 or info@tcicomm.com.

How Flexible Cloud Voice Service Can Strengthen Your Business

Over the last few years, Cloud Voice service has quickly taken over old-school landlines and premises-based systems as the preferred small business and enterprise communications solution. With the pandemic, cloud solutions have taken on new importance.

TCI’s Cloud Voice offering is TCI Host, an all-in-one service that supports all of your communications needs – including unlimited calling, messaging, and powerful team collaboration tools. You also get security; automated call screening, forwarding, routing and answering; voicemail-to-email; and user-controlled administration.

With TCI Host, all you need are IP desk phones in the office or any broadband-connected computer or smartphone to connect to the hosted platform through a Cloud Voice app supporting UC service that is customized with all the features your business needs.

Benefits of Cloud Voice

There are several potential benefits of upgrading to TCI Host. Here are just some of the service’s many upsides:

  • Flexible and versatile telephony – Cloud Voice allows you to use convenient call features, such as auto-attendant and advanced call processing. Among many other capabilities, you can also hold virtual meetings and collaborate on remote tasks. The service scales with your business as it grows, and you never have to make tedious and expensive upgrades to add more users or call capacity.
  • Reliable connections – With stable broadband connections coupled with redundant infrastructure backing everything up in the Cloud, you’ll have no worries about dropped calls. Besides service dependability, IP phones also have superior voice and video quality over traditional phones.
  • Complete portability and accessibility – And because Cloud Voice works on the Internet, it’s not limited by distance or national borders. You connect seamlessly regardless of location, allowing you to manage your business on the go and easily communicate with remote colleagues, clients, and stakeholders.
  • One all-inclusive, low monthly price – TCI Host eliminates the expensive upfront costs of buying phones and investing in an expensive on-premises PBX system. For a single, all-inclusive monthly price, you can enjoy state-of-the-art IP phones, Mitel’s award-winning call control features, and 100% lifetime support.

With constant refinements over the years, Cloud Voice has emerged as the most preferred enterprise communications technology. Don’t get left behind – take advantage of this versatile and affordable innovation to boost your business.

Since all businesses have unique communication needs, TCI’s team of experts will help by designing the most suitable solution for your enterprise. Contact us today at (703) 321-3030 or info@tcicomm.com.

6 Glaring Signs Your Business Needs Cloud Voice Technology

Almost overnight, the number of remote workers has increased dramatically with mandated “work-from-home” policies in response to the COVID-19 pandemic. There’s no telling when this situation will change.

If your current phone system wasn’t able to easily handle the office exodus, that’s a glaring sign you’re due for a change. The good news… A cloud phone solution can deliver the latest in mobility and ensure your employees can work and collaborate from anywhere.

If you’ve noticed any of the following warning signs, now is the time to make the switch from outdated technology:

  • Traffic – With fewer people working in the office, just about all communications is now handled remotely. Is your current phone system supporting the increased demand? If not, busy signals, dropped calls and low-quality video will impede conversations, frustrating employees and customers.
  • Security – With more employees working from home, protecting sensitive information is a top priority. But if you’re not 100% confident in your communications system, you’ll want to ask vendors some hard questions such as: Do they offer Secure Real-Time Transfer Protocol (SRTP), which ensures voice, web and signaling traffic is encrypted? What cloud platform are they using and what levels of security do they offer?
  • Regulation – If you operate in a regulated industry like healthcare or finance, compliance looms large. Violations are expensive and can tarnish your reputation. However, when you work with a cloud phone provider committed to ensuring high levels of security and protecting sensitive data, you can ease your compliance worries.
  • Rapid Response – The onset of COVID-19 was a classic example of the need to be able to rapidly respond to changing demands and requirements. Ask yourself how difficult it is to add or remove lines, features, and users to your current system. If it requires a call to the vendor every time you need to make a change, then it’s time for a cloud phone solution.
  • Client Expectations – A stellar customer experience is more important than ever, but it can be difficult to deliver when employees need to jump through extra hoops to share documents or discuss issues remotely. When collaboration is built into your communications, it’s easier for your people to exceed customer expectations. When employee collaboration is easy and seamless outside the physical office, customers get answers faster and satisfaction soars.
  • License Management – When you’re trying to run a remote employee workforce and keep customers engaged, you don’t have time to worry about managing multiple licenses for your communications system. With a cloud phone solution, you can mix and match license types on a single plan. Need a contact center? Collaboration tools? It’s simple to add licenses on-demand and manage each user via their own profile.

If any of the signs discussed above are flashing red or yellow in your organization, it’s time to start exploring what cloud phone technology can do for your business. Contact TCI today at (703) 321-3030 or info@tcicomm.com.

Rapid Response Success Stories… DC Region Associations Act After Stay-at-Home Orders

Northern Virginia Cloud Voice Customer

When the Governor’s order went into effect, our team had to act fast. Our client had 100+ users in the office. They called us on Tuesday, and they wanted everyone working from home by Friday.

Already subscribed to TCI Host, our flexible, all-in-one cloud voice service, the busy association had built-in telework capabilities, but had always conducted their work in a traditional office environment.

Without missing a beat, our outstanding support team ensured everyone’s endpoints were programmed, tested and ready to support incoming calls from the association’s membership.

By Friday, the association’s busy office was empty, and every user was connected at home using their preferred device – whether they opted for a laptop softphone, an app on their smartphone, or a desktop office phone.

Maryland Mitel On-Premises System Customer

Another association just outside of DC in suburban Maryland, had 130+ users all connected in their office via an on-premises Mitel MiVoice platform. Most incoming calls came in on the main number and were distributed across multiple attendant consoles where calls were transferred across the organization.

When the stay-at-home order came down, the staff was able to quickly connect at home using a mix of plug-and-play Mitel Teleworker phones or MiCollab apps running on their laptops and smartphones.

Home-based attendants are still managing the high-volume flow of incoming calls using a completely PC-based call-handling setup with an intuitive graphical user interface that lets them know the ‘presence’ status of every user before they transfer the caller.

The association is delighted with their Mitel system and its teleworking capabilities – their employees are staying productive and their members are getting the support they need.

Tech Overload? 5 Ways to Streamline all those Apps & Communications Tools

The average employee uses 17 different cloud apps, 3 content-sharing services and 3 collaboration tools.

If this sounds familiar, it might be a good time to consider a unified communication system like Mitel-powered TCI Host, which includes collaborative tools that allow team members to assign tasks, share documents, schedule calls, chat and conduct audio and video conferences at the push of a button.

Are your current systems providing the productivity and customer experience you need for 2020? If not, consider these pointers for re-energizing and remaking your approach to collaboration and communications.

1. Identify the purpose and value of each communications tool

Start by identifying what frustrates people, where necessities fall through the cracks, or how customers could be better served. Then evaluate your current tools in terms of:

  • Does the technology help or hinder productivity?
  • Do your communications tools keep your team’s conversations seamless no matter what device is used – be it smartphone, desktop or laptop?
  • Do they create a common space where team members can easily communicate, share documents and set up meetings?
  • Can employees respond quickly and efficiently to customers?

2. Analyze the costs vs. benefits of your communications software

The goal of any communications system is to aid productivity and bring value to the business. The problem is technology – especially when it’s the newest thing. You have to ask yourself: Is the time spent using that latest app really achieving the outcomes you need?

Spend more time assessing the costs of your existing communications tools, from time wasted swapping between business apps to the monthly costs of separate collaboration tools. If you’re not getting results, use this as an opportunity to find more cost-effective, all-in-one communications tools.

3. Reduce distraction and optimize attention capital

Step back from the whirl of digital life by identifying what’s most important to you, then add / keep the technology that will support your priorities. In business, that means finding solutions to increase productivity by automating simple tasks like setting up meetings and improving workflows.

Start by automating and controlling who can reach you, and when. Need some time to tackle a major project? Use presence technology to tell coworkers you’re not available, or you’re only available via a specific channel, like text.

4. Focus on the customer experience

As you’re evaluating your communications tools, consider how your communications software impacts your customer’s experience with your business. Does your current solution enable seamless communications both internally and externally? Does it easily integrate with other essential systems, like CRMs? Can your contact center agents quickly access the information and internal resources they need, when they need it? The answers to these questions directly impact your responsiveness to customers.

5. Make it convenient to work anywhere

With more team members working remotely – on the road, from a home office or in the field – reach out to them and find out what headaches they’re experiencing. Do your collaboration tools enable them to easily communicate and respond quickly to customers? Can they access information and people easily from their smartphone? Look for a communications solution like TCI Host, TCI’s Cloud Voice Service that allows your staff to access everything they need via a web portal.

Now is a perfect time to take a fresh look at your communication solutions to ensure you’re offering the best customer experience.
